Cookie Policy.

This explains the cookies and similar technologies Ovia uses on ovia.co and inside the app, what each one is for, and how to control them. For everything else we do with personal data, see the Privacy Policy.

01 What cookies are

In plain terms

Small files that let us keep you signed in, remember your workspace, count visits, and credit the affiliate who sent you. You can switch off everything except the ones that keep the app working.

Cookies are small text files stored on your device by your browser. We also use similar technologies such as local storage, session storage, and pixels. In this policy, "cookies" covers all of them.

Some cookies are set by us (first-party) and some by services we use (third-party). Cookies are either session cookies, which disappear when you close your browser, or persistent cookies, which stay for a set period.

03 Strictly necessary

These cookies keep the Service working and secure. Without them you cannot sign in, stay signed in, or safely submit forms. They cannot be switched off through our banner because the app would not function.

  • Session token, keeps you authenticated. Expires when your session ends or after inactivity.
  • CSRF token, protects forms and approvals from cross-site request forgery. Session only.
  • Workspace context, remembers which client workspace you are viewing. Session only.
  • Cookie choices, records the consent choices you made, so we do not ask again. Up to 12 months.

04 Analytics

We use privacy-conscious product analytics to understand which features agencies actually use, for example, how often boards move from Awaiting Approval to Approved, or which views get opened most. This data is aggregated and used to prioritise our roadmap.

We do not use analytics cookies to build advertising profiles of your clients, and we do not sell analytics data. In the EEA and UK, analytics cookies are only set after you opt in.

05 Marketing & attribution

These cookies tell us which content, ad, or partner introduced you to Ovia, so we can spend our marketing budget sensibly. They may be set by advertising platforms when you arrive from one of their placements, and can be used by those platforms to measure conversions.

If you decline marketing cookies, you will still see the same site, we simply lose the ability to attribute your visit.

06 Affiliate tracking

If you arrive through an affiliate link from a creator in our Affiliate Program, we set a cookie so that creator is credited if you subscribe within 90 days. It stores the affiliate's ID and the time of your click, not your personal details.

Declining this cookie does not affect your price or your trial. It only removes attribution for the creator who referred you.

07 Third-party cookies

Some features rely on third parties that set their own cookies when the feature loads:

  • Payments, our payment processor sets cookies for fraud prevention during checkout.
  • Scheduling, the booking embed on our demo page sets cookies to manage your booking session.
  • Support and video, chat and embedded video players may set cookies when you interact with them.
  • Connected social platforms, when your client connects an account, the platform's own OAuth flow may set cookies in that window. Those cookies are governed by that platform's policies.

08 How to control cookies

You can change your choices at any time using the cookie preferences link in our website footer, or by clearing cookies in your browser. Most browsers also let you block cookies entirely or delete them per site, see your browser's help pages for Chrome, Safari, Firefox, or Edge.

Heads up

Blocking strictly necessary cookies will sign you out and prevent approvals, scheduling, and publishing from working. Everything else can be declined without breaking the product.

09 Do Not Track & global signals

Browsers send inconsistent "Do Not Track" signals, and there is no shared standard for how to honour them, so we do not respond to DNT headers. We do honour Global Privacy Control (GPC) signals where legally required, treating them as an opt-out of sale or sharing for targeted advertising.

10 Changes

When we add or remove a cookie category we update this page and, where required, ask for consent again. Material changes are announced in-app or by email. The effective date at the top always reflects the current version.
