The service nobody asked for
bureau nine did what a lot of good studios do: picked a serious project-management tool and configured it properly. The configuration was the easy part. The hard part arrived with every new client, in the shape of a walkthrough call and a login.
Clients are not project managers. Asking a founder to navigate a task tool to approve a photo is asking them to do a job they did not hire you for, and they respond the way anyone would. They put it off.
What was actually happening
- Every approval had a signup in front of it. Password resets became a support queue the studio was staffing for free.
- Because approving was awkward, clients batched it. Batching meant everything arrived at once, late, usually the day before it needed to go out.
- The tool was visible. Clients could see the studio’s software, its internal stages, and occasionally its internal comments.
What changed
The client side collapsed into a single link on bureau nine’s own domain, with their logo, their colours and their sending address. No account, no password, nothing to install. The work is the first thing on screen and approving takes a thumb.
Internally almost nothing changed. Same stages, same review discipline, same standards. What changed is that none of it is the client’s problem any more, and nothing on the client side carries anyone’s branding but theirs.
Where they are now
The walkthrough call is gone from onboarding entirely. Clients connect their own accounts through a guided flow and set the hours they are happy to post in, so nobody is exchanging passwords over Slack. And every reviewer on the client side is free, so approvals no longer bottleneck on one person.
